📌 Booking Policy
At Phoenix Experiences, every expedition is carefully structured with limited seats, fixed logistics, and advance mountain permits. Your commitment allows us to operate at the highest safety and quality standards.
To Confirm Your Seat:
A 50% advance payment of the total expedition cost is required to block your slot.
The remaining 50% balance must be cleared at least 30 days before departure (i.e., before 22 October 2026 for the 21 November 2026 batch).
Bookings are strictly first-come, first-served due to limited team size.
Domestic flights, permits, hotels, guides, and porter services are secured immediately after confirmation.
Failure to complete payments within the timeline may result in release of your slot without notice.
Your booking is considered confirmed only after payment receipt and written confirmation from Phoenix Experiences.
🔴 Cancellation Policy
Operating in the Himalayas requires advance financial commitments toward permits, flights, staff, and accommodations. Therefore, the following cancellation terms apply:
Cancellation by Participant
More than 30 days before departure:
50% of the total expedition cost will be refunded.
Non-refundable expenses already incurred (flights, permits, hotel bookings, taxes, etc.) will be deducted.
15–30 days before departure:
No cash refund.
50% of the amount paid may be transferred as credit toward a future Phoenix Experiences expedition (valid for 12 months).
7–14 days before departure:
No refund.
30% credit adjustment for a future expedition (subject to availability).
Within 7 days of departure / No-show / Early withdrawal:
No refund or transfer under any circumstances.
Non-Refundable Components (Once Issued)
Domestic flight tickets (Kathmandu–Pokhara–Kathmandu)
Trekking permits (ACAP)
Hotel reservations
Guide and porter bookings
Any helicopter or emergency logistics (if applicable)
Government taxes and processing fees
These costs are non-recoverable once confirmed.
Medical Withdrawal & Safety Decisions
If a participant is required to descend due to altitude sickness (AMS), medical concerns, or safety decisions taken by the expedition leader:
The expedition is considered voluntarily terminated.
No refund will be issued for unused services.
Any evacuation, additional accommodation, or transport costs will be borne by the participant.
All on-ground safety decisions made by the trek leader are final.
Force Majeure (Unforeseen Circumstances)
In the event of:
Flight cancellations
Severe weather
Natural disasters
Political disturbances
Government restrictions
Phoenix Experiences will assist in rescheduling or alternative arrangements wherever possible. However:
Additional expenses arising from such circumstances will be borne by the participant.
Refunds are not guaranteed for events beyond operational control.
Travel Insurance (Mandatory Recommendation)
We strongly recommend all participants purchase comprehensive travel insurance covering high-altitude trekking and helicopter evacuation.
The mountains demand preparation — physically, mentally, and logistically.
